Utilizing Zapier with Cayzu Help Desk

Zapier lets you automate tasks between cloud based applications. You can create Zaps that use an action in one app as a trigger to perform an action in another application. For example, if a new email comes into your Gmail account, a new ticket can be created in your help desk.  This is called a ZAP. 

Cayzu's Zapier integration saves you time by making it easier to integrate your Cayzu Help Desk with other cloud apps. 

To create Zaps linking Cayzu to other apps, you must have a valid Zapier account. (they do also offer a free trial) 

 

 

How to make a quick ZAP using Gmail:

 

1. Login to your Zapier account.

2. Click on Make a ZAP 

 

 

3. Click on Make a New Zap (or explore the pre-setup existing ZAP templates)

 

4. Under Triggers (1) Choose an APP (2) and select GMAIL (3).

 

 

5. Next select New Email Matching Search and Click Save + Continue at the bottom. 

 

 

6. You now need to link your Gmail account. Click Connect Account and authorize the connection.  

 

7. Click Test to ensure that everything is working correctly. 

 

8. In the Search String field type in a search query. For example: TestZapier.  This will instruct Zapier to monitor your Gmail inbox for any emails that contain "TestZapier" and then perform the ZAP (Trigger). 

 

 

 

9. You can ignore the next screen that contains Multi Samples.  Just click Continue.

 

 

10. Now pick one of the suggested samples and Click Continue. 

 

 

11.  The ZAP (trigger) has now been set up.  Proceed to the next step.

 

 

How to now Create an action for this ZAP:

 

12. In Step 2 (1), Choose APP (2) and type in "Cayzu Help Desk" (3)

 

 

 

 

 

13. Select Create Ticket 

 

 

 

 

14. We will now need to connect our Cayzu Help Desk account with Zapier. Click Choose Account and then Click Connect an Account. 

 

 

 

15. You will now be required to put in your Cayzu Help Desk API key. To obtain your Cayzu API key, please follow this FAQ. Once you have your Cayzu API key, enter it in: 

 

 

 

 

16. Once the API is authenticated (After clicking Yes, Continue above), you will Click Test to ensure that you've successfully connected Cayzu to Zapier. 

 

 

17. You'll now need to fill in the details of the ZAP. (What happens when this trigger runs). For example Under SUBJECT, you could drop down and select Subject. This will create the ticket with the same subject as the email has that you received in your Gmail inbox. 

 

 

18. Now select:

-Body Plain for the Body field

-From Email for the Email field 

-From Name for Full Name field 

 

19. Navigate to the next screen to see an example of a test email that will be sent. Once you've reviewed Click Send Test To Cayzu Help Desk. 

 

 

20. In your Cayzu Help Desk account you will now see a test ticket being created: 

 

 

21. Now looking back at your Zapier account you will have a green success message (1) and "is valid" will equal TRUE (2).  Once you've reviewed Click Finish: 

 

 

22. Now give your ZAP a name(1), Turn your ZAP ON (2) and Click See it on your dashboard (3): 

 

 

23. You've now successfully set up your first ZAP! All emails coming into your Gmail account that include the words "ZapierTest" will now automatically create a ticket in your Cayzu Help Desk.
